Privacy notice
This notice explains how your personal information is handled when you register as an Interested and Affected Party (I&AP) or submit a comment through this portal, as required by the Protection of Personal Information Act (POPIA).
Who is responsible for your information
Yone STEM Frontiers (Pty) Ltd is the responsible party for personal information collected through this portal, for the Environmental Impact Assessment public participation processes it administers.
What we collect
When you register as an I&AP or submit a comment, we collect: your name, organisation (if any), postal and/or physical address, phone number(s), email address, your comment and any attachment you choose to provide, and technical information (such as your IP address) used to prevent automated/spam submissions. We only collect the fields needed for the public participation process — we do not ask for information unrelated to it.
Why we collect it
Your information is used to register you as an I&AP for the relevant application, to include your comment in the legally required Comments and Responses Report, to send you an acknowledgement of your submission, and to comply with the public participation requirements of the applicable environmental legislation.
Who sees it
Your submission is reviewed by the Environmental Assessment Practitioner (EAP) team working on the relevant application. Where a Comments and Responses Report is submitted to the competent authority, your personal contact details are removed from that report by default — full details are only included where the authority specifically requires them.
How long we keep it
Comments, responses, and the record of the public participation process are retained permanently, even after the underlying project documents are archived, because they form part of the legal record supporting an environmental authorisation decision that can remain subject to appeal.
Where it is stored
Documents and submission records are stored using service providers that operate internationally rather than exclusively within South Africa (including cloud storage and email delivery infrastructure). POPIA permits this where the provider offers a comparable level of protection. If you would like more detail about this, please contact us using the details below.
Your rights
You may request access to, or correction of, the personal information you provided. Because your submission forms part of a legal public-participation record, we may not be able to delete it entirely once submitted — but you can contact us with any concerns and we will respond.
